1. Definitions

In these Terms and Conditions:

  • "Physiomedicine" / "we" / "us" means Physiotherapy London Ltd (trading as Physiomedicine), registered in England and Wales.
  • "Website" means physiomedicine.co.uk and all associated pages.
  • "Services" means physiotherapy, sports massage, acupuncture, clinical Pilates, osteopathy, workstation assessments, and all other clinical and wellness services we provide.
  • "Patient" / "you" means any person accessing the Website or receiving our Services.
  • "Booking System" means the TM3-powered online appointment booking platform.

2. Accepting These Terms

By accessing our Website or booking our Services, you agree to be bound by these Terms and Conditions. If you do not agree, please do not use our Website or Services.

These Terms are governed by the laws of England and Wales. Any disputes shall be subject to the exclusive jurisdiction of the courts of England and Wales.

3. Our Services

All clinical services are provided by qualified and HCPC-registered (or equivalent) healthcare professionals. Our practitioners maintain professional indemnity insurance in line with their regulatory requirements.

Physiomedicine provides private healthcare services. We are not an NHS provider. Our services are not a substitute for emergency medical care — if you are experiencing a medical emergency, call 999.

⚠️ Always disclose your full medical history to your practitioner before treatment begins. Withholding relevant health information may affect the safety and effectiveness of your treatment.

4. Appointments and Cancellations

Booking: Appointments can be made online via our booking system, by phone, or by email. A booking confirmation will be sent to your registered email address.

Cancellation and Rescheduling: We require a minimum of 24 hours' notice to cancel or reschedule an appointment. You may do so online, by phone, or by email.

Late Cancellation / Non-Attendance: Cancellations made with less than 24 hours' notice or failure to attend without notice may incur a charge of up to the full session fee. We reserve the right to apply this charge at our discretion.

Our Right to Cancel: We reserve the right to cancel or reschedule appointments in exceptional circumstances (practitioner illness, clinic emergency, etc.). We will notify you as soon as possible and offer an alternative appointment.

5. Fees and Payment

Our current fees are published on our website and booking system. Fees are subject to change with reasonable notice.

Payment is due at the time of treatment unless prior arrangements have been made (e.g. direct insurance billing). We accept most major credit and debit cards, cash, and bank transfer.

Health Insurance: If you are using health insurance, it is your responsibility to confirm your policy covers the treatment prior to your appointment. You remain liable for any costs not covered by your insurer. We are recognised by AXA, Aviva, Bupa, Cigna, Simply Health, Vitality and WPA.

Refunds: Prepaid sessions are non-refundable once a course of treatment has commenced, unless there are exceptional circumstances. Please contact us to discuss your situation.

6. Website Use and Intellectual Property

The content of this Website, including text, images, logos, graphics, and design, is owned by or licensed to Physiomedicine and is protected by copyright and intellectual property laws.

You may view and print pages for personal, non-commercial use. You must not reproduce, republish, transmit, or distribute any content without our prior written consent.

Nothing on this Website constitutes clinical advice for your specific situation. Always consult a qualified healthcare professional before acting on any health information.

7. Limitation of Liability

To the fullest extent permitted by law:

  • We exclude liability for any indirect, consequential, or economic loss arising from your use of our Website or Services.
  • Our total liability to you in connection with any treatment shall not exceed the fees paid for that specific treatment.
  • Nothing in these Terms excludes or limits liability for death or personal injury caused by our negligence, or for fraud or fraudulent misrepresentation.

Our clinical services are provided by registered healthcare professionals who maintain their own professional indemnity insurance. Their individual regulatory and professional obligations apply at all times.

8. Complaints Procedure

We are committed to providing a high standard of care. If you are dissatisfied with any aspect of our service, please follow our complaints procedure:

  1. Step 1 — Speak to us: Contact our practice manager at info@physiomedicine.co.uk or 020 4641 4372. We will acknowledge your complaint within 2 working days.
  2. Step 2 — Formal investigation: We will investigate and provide a written response within 14 working days.
  3. Step 3 — External escalation: If you remain dissatisfied, you may refer the matter to the relevant professional regulator (e.g. HCPC, CSP, or GOsC).

9. Privacy and Data Protection

Your privacy is important to us. The collection, use and storage of your personal data is governed by our Privacy Policy and Cookie Policy, which are incorporated by reference into these Terms.

10. Amendments to These Terms

We reserve the right to update these Terms and Conditions at any time. The current version will always be published on this page with the date of the most recent revision. Continued use of our Website or Services after changes are published constitutes acceptance of the updated Terms.
